Calculate a sustainable freelance hourly rate

Freelancers cannot usually bill every working hour. Client delivery competes with proposals, meetings, bookkeeping, marketing, learning and gaps between projects. This calculator works backwards from desired take-home income, adds business expenses and a tax reserve, then divides required revenue by realistic billable hours.

Freelance rate formula

Required revenue accounts for the income goal, operating costs, estimated tax reserve and safety buffer. Annual billable hours equal working weeks × weekly hours × billable percentage. Dividing revenue by those hours gives the minimum planning rate.

Hourly, day and project pricing

The day rate uses eight billable hours as a clear comparison. Project price multiplies the hourly recommendation by estimated project hours. Fixed-price work may need an additional scope-risk allowance for revisions, communication and uncertain requirements.

Do not copy another freelancer’s rate blindly

Experience, specialization, demand, location, client outcomes and market position affect pricing. Treat the calculation as your financial floor, then compare it with the value delivered and rates accepted in your market.

Frequently asked questions

What hourly rate should a freelancer charge?+

A sustainable rate should cover desired personal income, business expenses, tax reserve, unpaid time and a sensible buffer.

What are billable hours?+

Billable hours are hours charged to clients. Proposals, bookkeeping, marketing and administration are usually non-billable.

Why not divide annual income by 2,080 hours?+

That assumes 40 billable hours every week with no vacation, administration, expenses or unpaid gaps, which is unrealistic for many freelancers.

How are annual billable hours calculated?+

Working weeks × weekly hours × billable percentage. The calculator reduces 52 weeks by your planned time off.

What should business expenses include?+

Consider software, equipment, internet, insurance, accounting, marketing, payment fees, coworking and professional development.

How should I estimate taxes?+

Use a cautious blended planning estimate for your circumstances, then confirm local requirements with a qualified professional.

How do I convert hourly rate to project price?+

Multiply the recommended rate by estimated billable project hours, then add scope-risk or project buffer where appropriate.

Is the recommended rate a market guarantee?+

No. Market demand, expertise, location, client value and negotiation also affect the rate clients accept.
